Build a lead intake workflow that does not lose the handoff.
A practical blueprint for capturing an inquiry, checking it, assigning an owner, and making missed follow-up visible.
Save the inquiry first, use a stable identifier to prevent duplicates, assign an accountable owner, and monitor the time to a real response. Treat an AI-generated reply as a draft.
Define the finish line
A form submission is not a completed sales handoff. Your workflow is complete when a valid inquiry exists in the system of record, has an owner, and has a clear next action. Agree on the response target with the team. Avoid promising an automated response time that the business cannot actually staff.
Capture before enrichment
Persist the original inquiry and timestamp before calling an enrichment service or language model. Store source page and consent separately from the customer’s request. If a downstream provider fails, the lead should still be visible. Use the form event ID or another stable idempotency key so retries do not create several opportunities.
Use AI for a bounded task
Ask AI to summarize the stated need and classify it into a short list of supported services. Include an “unclear” option. Keep its interpretation separate from the original message. Do not infer budget, purchasing authority, or urgency as fact. A suggested next question is more useful than an invented qualification score.
Make ownership explicit
Route by rules your team understands, such as service line, region, or an existing customer owner. If no route matches, send the record to a named exception queue. Add a follow-up task with a due date; sending a notification alone is easy to miss. Escalate when the task becomes overdue, and record who resolves it.
Test and measure the whole journey
Run sample inquiries through the actual form, CRM, notifications, and task queue. Include duplicate events, a provider timeout, missing data, and a legitimate request that fits no category. Measure valid lead delivery rate, assignment delay, first human response time, and overdue follow-ups. Compare these against the manual baseline before claiming an improvement.
Try this next
Submit five labeled test inquiries and trace every one from the form to an assigned follow-up task. Remove test records after verification.
