A SMALL FIRST WIN
Before you start
Open a normal ChatGPT conversation. Pasting a short set of approved text notes is enough for this exercise. No calendar, email connection, or paid automation tool is required by the recipe.
- Notes you are allowed to share
- The meeting date
- A list of names and roles if the notes are ambiguous
Use sample or approved information for your first run. Keep the review step visible before you expand the workflow.
LET’S DO THE WORK
Follow these four steps
- 01
Bring a small, clear set of notes
Open ChatGPT and paste the practice notes. For your own meeting, remove anything you do not have permission to share. Add the meeting date so relative dates can be checked.
You’re ready when: The notes represent what was actually said.
Step 1 · illustrated workflow - 02
Ask for decisions, actions, and gaps
Copy the prompt below and replace the notes placeholder. Keep the rule for missing owners and dates. It makes uncertainty visible rather than turning it into a fictional commitment.
You’re ready when: The request separates decisions from proposals and unknowns.
Step 2 · illustrated workflow - 03
Verify the action table
Compare each action with the original notes. Check that the mobile form has no invented owner. Resolve the missing assignment with your team, then ask for the corrected recap.
You’re ready when: Owners and dates are accurate or explicitly unconfirmed.
Step 3 · illustrated workflow - 04
Reuse the format for the next meeting
Save the prompt with your preferred output format. Send the final recap yourself after review. For recurring collection and preparation, explore a connected Work or Duet workflow separately.
You’re ready when: A saved prompt helps you repeat the task; it does not run by itself.
Step 4 · illustrated workflow
COPY, ADAPT, AND TRY
Your first run starts here.
Fictional meeting notes Maya will send revised copy by Tuesday. The team approved the blue design. Someone needs to check the mobile form. No owner or deadline was agreed for that check.
Use only the meeting notes below. Return: (1) decisions, (2) actions in a table with task, owner, due date, and supporting note, (3) unresolved questions, and (4) a concise follow-up email draft. If an owner or date is missing, write Not agreed. Do not invent commitments. Keep the email as a draft. Notes: [paste approved notes]
Decision: blue design approved. Action: send revised copy | Maya | Tuesday. Action: check mobile form | Not agreed | Not agreed. Open question: who owns the form check? Email: draft only; ready for your edits.
Actual output will vary. Use this example to judge structure and accuracy, not as a promise of a successful run.
KEEP THE USEFUL PART
Make it repeatable.
Save the format and run it with new notes when needed. A reusable prompt is not an unattended automation.
Use the same recap structure for the new meeting notes below. Treat these notes as a separate meeting. Do not carry forward owners, dates, or decisions from an earlier meeting. New notes: [paste notes].
If this feature is not available
If you cannot share the meeting's contents with an AI service, use the same decisions/actions/questions template manually or use a workplace-approved tool.
YOUR FINAL CHECK
Is the result ready to use?
- No invented decision or commitment
- Every action has a supporting note
- Missing owners and dates stay visible
- Recipients and final wording checked before sending
