How to choose an automation platform for your actual workflow.
Compare the factors that matter: integrations, failure handling, maintainability, permissions, and total cost.
Evaluate platforms against the same representative workflow and failure cases. A successful demo is only the beginning; maintenance and recovery determine whether the choice works for your team.
Define the test before shopping
Write down the trigger, source systems, required actions, data volume, human approvals, and the output you need. List constraints such as data residency or who will maintain the workflow. Separate requirements from preferences. A long integration catalog is not useful if a specific connector lacks the action you need.
Check the exact integration path
Look at the provider’s current documentation for each required trigger and action. Confirm whether it needs a paid plan, polling, a webhook, custom code, or extra API access. Try representative records, not only the easiest sample. Note rate limits and what happens when a credential expires.
Compare operations, not screenshots
Build the same small workflow in your two strongest candidates. Test a duplicate event, malformed payload, provider outage, and human rejection. Can an operator see what happened? Can they replay the failed step safely? Can a second person understand the workflow without the original builder explaining it?
Calculate the actual cost
Model trigger frequency, tasks or credits consumed, retries, model usage, hosting, monitoring, and review time. Platforms use different billing units, so compare the completed business outcome rather than the advertised starting price. Check official pricing at purchase time and set limits before enabling high-volume schedules.
Decide who will own the system
Managed services can reduce infrastructure work. Self-hosting can provide more control but adds updates, backups, security, and incident response. Document who owns each responsibility. Choose the platform your team can operate reliably, and export a copy of the workflow configuration where supported.
