Use this for conversations people actually started.
Begin with legitimate inquiries or ongoing proposals. This is not a guide to scraping contacts or sending unsolicited bulk messages. Keep the record of why you are contacting the person and any relevant communication preferences.
Make the next action a field.
For each inquiry, record the owner, current status, last meaningful interaction, and next action. A reminder should tell you what to review, not force a message to go out regardless of context.
Let AI draft within approved facts.
Supply the sanitized inquiry, current status, and approved offer details. Ask for a short response with one helpful question. Do not let the draft invent availability, discounts, urgency, or services. A person reviews and sends the message.
Define stop conditions first.
Stop reminders when someone replies, declines, opts out, becomes a client, or asks for more time. Add a manual hold. Test what happens when a submission arrives twice or a status is updated late.
Measure usefulness, not just sends.
Track whether inquiries receive an appropriate response and whether next actions are current. More automated messages are not automatically better service. Ask the person managing the process which exceptions still cause confusion.
